Objective
Drive attendance and engagement with targeted reminder and recap emails during multi-day events.
Time Required
1–2 hours per event day
Tools Needed
Goldcast (events and custom emails), Goldcast Content Lab, YouTube or on-demand video hub (optional)

Goldcast's Summer Camp was a 4-day virtual event packed with sessions. The challenge? Keeping registrants engaged across multiple days without spamming them. Our solution: smart, daily custom emails. With just one email per day, we nudged over 350 inactive registrants into becoming active attendees—and used post-session recaps to keep the momentum going.

What You’ll Learn

  • Smart email strategies to drive multi-day event attendance
  • Creative ways to recap sessions and delight attendees
  • Tips to turn session recordings into same-day content

Expected Results

  • Boost attendance by re-engaging dormant registrants throughout a multi-day event
  • Maintain high open and click-through rates with targeted, relevant content
  • Streamline communication using daily reminders and personalized follow-ups
  • Increase engagement and drive replay views with post-session recaps

Step 1: Plan your email cadence and content

Before setting up anything in Goldcast, we sketched out our full email journey. With multiple sessions across four days, we wanted to avoid inbox fatigue while still nudging people to attend. Our plan: one reminder email each morning and one follow-up email each evening.

We mapped:

  • Timing for each email
  • Target audience (e.g., registrants, attendees, no-shows)
  • Key messaging (what action we wanted them to take)
  • Content types (session previews, video replays, takeaways, badges)

Having a clear strategy upfront made daily execution seamless.

Step 2: Set up daily reminder emails

Each morning, we sent a single email to all registrants with a friendly reminder of that day's sessions—encouraging them to join live. This helped drive net-new attendance from people who hadn’t shown up the day before.

To set this up in Goldcast:

  • Head to the Email Schedule tab and click New Email
  • Choose a template or create a new one for daily reminders
  • Select your audience (we used "All Registrants")
  • Use the relative time picker to schedule (e.g., "1 day before" or "same day - 8 AM")
  • Preview and schedule it

We kept the tone light, the format skimmable, and linked directly to the event for easy access.

Tip: To avoid audience fatigue, don’t send a separate email for each session unless absolutely necessary. Daily roundups work better.

Step 3: Send personalized post-session recaps

After each day's sessions, we followed up with attendees via custom recap emails. These included:

  • A thank you message
  • Links to short session clips
  • A fun badge for attending
  • 2-3 key takeaways from the session

We used Content Lab to instantly create highlight clips from session recordings. Within a few hours, we pulled top moments, added captions, and dropped them right into our follow-up emails.

💡 We didn’t need to wait for post-production. By the time attendees checked their inbox that night, everything was already live.

These recap emails averaged a 51% open rate and 76 link clicks. It was an easy win for sustained engagement.

Results

  • 350+ registrants became attendees through daily custom reminders
  • Post-event recap emails maintained 51% open rates and ~76 link clicks each
  • The team created a low-lift, high-impact engagement loop using built-in Goldcast tools
